We are looking for a dedicated and proactive Admin Manager to lead office operations, oversee administrative functions, and manage the admissions process. This leadership role is critical to ensuring operational excellence and supporting the success of students and staff alike.

Key Responsibilities
Office Operations and Administration
•    Oversee daily office operations to ensure efficiency and productivity.
•    Manage office facilities, including procurement of supplies, vendor coordination, and equipment maintenance.
•    Organize and maintain official documentation, including contracts, correspondence, and policy records.
•    Collaborate with HR to manage employee attendance, leave records, and overtime tracking.
•    Coordinate with the team for accurate payment tracking, budget management, and financial recording.
•    Organize and execute internal events, staff meetings, and training sessions to foster team collaboration and productivity.
•    Maintain a safe and efficient office environment that supports organizational goals.
Admissions Management
•    Supervise the admissions process, including evaluating applications and issuing Letters of Offer (LOOs) and Confirmation of Enrollments (eCoEs).
•    Handle admissions variations such as deferments, suspensions, and course changes in compliance with institutional and regulatory policies.
•    Maintain accurate student records using tools like RTO Manager, PRISMS, and Google Drive.
•    Coordinate with students, education agents, and internal teams to ensure seamless admissions operations.
•    Generate detailed admissions reports for management to support decision-making and process improvements.
Leadership and Compliance
•    Train, mentor, and supervise staff involved in both administrative and admissions-related tasks.
•    Ensure compliance with international education standards, visa regulations, and institutional policies.
•    Develop and implement policies and procedures to enhance operational efficiency across office and admissions functions.
•    Act as a key liaison between departments to ensure effective communication and collaboration.

 

What We Expect From You

Requirements
Educational Qualifications
•    Must have completed a Master’s degree in Business Administration, Management, or a related field.
Experience
•    A minimum of 2 years of experience as an Office Manager or in a similar administrative leadership role.
Technical Skills
•    Proficiency with office management tools and systems like RTO Manager, PRISMS, and Google Workspace (Docs, Sheets, Drive).
•    Strong understanding of administrative processes, admissions policies, and compliance standards.
•    Ability to manage budgets, financial tracking, and reporting effectively.
Soft Skills
•    Leadership: Proven ability to guide and motivate a team to achieve operational goals.
•    Communication: Exceptional verbal and written communication skills for engaging with staff, students, and external stakeholders.
•    Organizational Skills: Strong multitasking and time-management abilities to handle multiple priorities.
•    Problem-Solving: Analytical mindset to address challenges and implement solutions effectively.
•    Attention to Detail: High accuracy in documentation, compliance, and record-keeping.
